We are looking for a detail-oriented and energetic Groups and Events Specialist to join our hotel team. This role is perfect for an individual passionate about hospitality and event planning, thriving in a fast-paced, guest-focused environment.

Key Responsibilities

  • Event Planning & Coordination: Collaborate with the Event Manager to manage all aspects of event planning, from initial consultation to post-event follow-up. This includes overseeing timelines, room configurations, BEO orders, audiovisual needs, and décor.
  • Vendor & Supplier Management: Liaise with vendors (event planners, florists, AV technicians, etc.) to ensure timely service delivery while maintaining the hotel’s standards.
  • Client Interaction: Engage with clients to understand their event goals, offering tailored solutions that align with the hotel brand, while providing excellent customer service throughout the planning process.
  • Creativity and Design: Design event layouts and visually appealing setups, working closely with vendors to ensure the outcome meets client expectations.
  • On-Site Event Support: Supervise event setup, execution, and breakdown, ensuring seamless operations on event days and addressing any issues that arise.
  • Guest Services & Hospitality: Coordinate with hotel staff to meet all guest needs from check-in to on-site service, ensuring overall event success.
  • Logistical Support: Manage event logistics, including setups, guest arrangements, and transportation needs.
  • Administrative Duties: Respond to group-related inquiries within 24 hours, maintain accurate records of event details, and handle correspondence with clients and vendors.

Requirements

  • Education: Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field (preferred).
  • Experience: Minimum of 3 years in event planning and coordination.
  • Skills: Strong organizational skills, attention to detail, and multitasking abilities. Excellent communication and interpersonal skills focused on guest satisfaction.
  • Availability: Flexibility to work long and irregular hours, including evenings, weekends, and holidays as required.
  • Customer Service: A guest-first mentality with the ability to anticipate and address client needs.
  • Technology Proficiency: Familiarity with Microsoft Office and event management software.
  • State Training: Completion of TIPS (alcohol service) and food handlers training required by the State of Utah.
  • Hotel Training: Compliance with all AMAN policies and procedures.

Preferred Qualifications

  • Knowledge of Hotel Systems: Familiarity with OPERA, SpaSoft, SevenRooms, and HotSOS.
  • Food and Beverage Service: Understanding of hotel operations and service.
  • Event Planning Certification: CMP or CSEP certification preferred.
  • Event Technology Proficiency: Familiarity with audiovisual equipment.

Physicality

This position is physically demanding. The employee must be able to:

  • Engage in sustained periods of standing, walking, bending, stooping, and lifting.
  • Work outdoors in various climates, including extreme heat, wind, and desert storms.
