The position of Assistant Manager, Digital Content and Initiatives under Curatorial Department is responsible for ensuring the smooth day-to-day running of team operations and compliance of existing processes and policies. The main purpose of the role is to support and manage high quality output of the team. This role should preferably have a background in Arts Administration or Business Management.

You will be responsible for

  • supporting the Head of Digital Content and Initiatives by maintaining oversight of the overall team’s activities and the team’s finance by assisting in budgeting and forecasting exercises to ensure the budget is spent according to approved plan;
  • acting as the main liaison with administration, finance, and legal teams across the museum as needed; ensuring the team is complying with the policies and guidelines of the museum and the Authority;
  • supporting the Digital Content and Initiative team in preparation of project memos, and providing administrative support for procurement exercises related to the projects and equipment to be procured;
  • implementing and streamlining workflows and maintaining project management systems across the team and internal/external collaborators to facilitate the team’s efficiency;
  • managing team records and documents, including taking and circulating team meeting minutes and preparing presentation materials and regular reports for management;
  • facilitating clear internal and external communications to handle requests or queries; and
  • providing support to supervisor on any other duties as assigned when required.

You should

  • possess a recognised university degree, preferably in Arts Administration, Business Management, or equivalent;
  • have at least 5-7 years of relevant experience in providing administrative support to complex teams, preferably in the field of arts and cultural institution or large organisation;
  • be highly-organised, detail-oriented with ability to multitask and prioritize work independently;
  • be a good team player with sound problem-solving and interpersonal skills and capability of working under pressure in a fast-paced environment;
  • have hands-on experience in project management tools, such as Asana, and MS Office applications including Word, Excel and PowerPoint; and
  • have excellent oral and written communication skills in English and Chinese.
