Assistant Manager, Event and Programme Coordination

BACKGROUND A cornerstone of the ambitious West Kowloon Cultural District Project, M+ is Hong Kong’s new museum for visual culture encompassing twentieth and twenty-first century art, design and architecture, and moving image from Hong Kong, greater China, Asia, and beyond. The Exhibitions and Displays department is an enthusiastic and motivated team with a strong commitment to collaboration across the museum and cultural district.
SCOPE OF THE ROLE An experienced and reliable individual is required to manage and coordinate events that originate from internal M+ departments and involve external stakeholders. The role will be part of the M+ Events team but will work closely with Exhibitions, Development and Learning teams to realise key exhibition openings and high-profile stakeholder events.
CANDIDATE QUALITIES The ideal candidate will have a passion for visual culture and experience working in a fast-paced environment. The individual should be highly organised with hospitality and hosting experience. KEY RESPONSIBILITIES
- work closely with M+ Teams and Program Owners, understand and efficiently manage the events to be hosted at M+;
- liaise closely with internal stakeholders throughout the entire event co-ordination process, including communication with service providers to ensure good quality delivery of events;
- manage event execution, including logistic arrangement, coordinating and collaborating with F&B counterparts, vendors, suppliers and concerned departments in M+ and West Kowloon Cultural District Authority (WKCDA) in a professional manner;
- prepare all necessary event co-ordination related documents and all event materials required for events;
- act as on-site floor manager to monitor the event program, oversee an accurate and timeline delivery and ensure the successful running of events;
- maintaining good awareness of all museum programs and communicating effectively with different stakeholders including internal departments;
- assist on co-ordination of hirer event as per request in peak season; and
- performing any other duties as may directed by the supervisor when necessary.
YOU SHOULD
- possess a recognised university degree in any discipline; preferably with minimum 6-year relevant experience in event management/event co-ordination;
- possess working experience with venue providers or international luxury hotel brand will be an advantage;
- be highly organised and detail-oriented;
- be a self-motivator who aims to drive things forward and demonstrate high level of ownership and accountability to assigned tasks;
- have a strong sense of responsibility, good interpersonal and organization skills and attentive to details;
- be proficient in written and spoken English and Chinese including Putonghua; and
- work within a flexible schedule including weekends, evenings/ nighttime, and holidays if necessary.
