Event Support Assistant
M+ is a museum dedicated to collecting, exhibiting, and interpreting visual art, design and architecture, moving image, and Hong Kong visual culture of the twentieth and twenty-first centuries. Located in Hong Kong’s WestK, we are one of the leading museums of modern and contemporary visual culture in the world. (This is a fixed-term contract position of 2-year with possibility for renewal subject to organisational needs and individual performance.)
You will be responsible for
- handling daily administrative works for event operation, including but not limited to answering phone calls and email correspondences, upkeep departmental filing and update information;
- liaising with F&B counterparts, vendors and/ or suppliers and concerned departments in M+ and WKCDA to ensure smooth running of events;
- preparing all necessary event co-ordination related documents for cross-departments and clients;
- preparing all event materials required for hirer events;
- preparing event booking reports and assist to keep the P/L record after the event finished;
- maintaining good awareness of all museum programmes and communicating effectively with different stakeholders including internal departments;
- collecting and analyzing market trends on a regular basis to improve the event operation process;
- assisting event coordination & operation team to manage event logistics on site if required; and
- performing any other duties as may direct by supervisor when necessary.
You should
- possess a recognized diploma or university degree in any discipline, preferably with a minimum 1-year relevant experience in event operation or on-site event management;
- be logical, responsible, meticulous, result-oriented and a good team player;
- demonstrates a strong sense of responsibility, excellent organizational and time management skills, good interpersonal abilities, and attention to detail;
- good in written and spoken English and Chinese, including Putonghua; and
- able to work in evenings, weekends and holidays if necessary.
