Description Position Overview The Development Assistant will work closely with the Senior Director of Development on all administrative tasks associated with her role, including on selected special projects and stewardship of the Board of Trustees. This includes calendar management; preparation of meeting agendas, presentations, materials and minutes; generation of invoices, letters and other correspondence; and assistance with execution of development and fundraising events and projects.

  • Availability to work extended evening and weekend hours.

Preferred Qualifications

  • Database management experience.
  • Knowledge of Altru database.
  • Bilingual in English and Spanish

Physical Demands

  • Walk, bend, lift (up to 25 pounds) including files, office supplies and electronic equipment

  • Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading
  • Ability to hear in normal tones including telephone and face-to-face conversation

Summary Essential Functions include, but are not limited to: 

  • Coordinate calendar management, professional association memberships, event attendance, and expense reporting for the Senior Director of Development;
  • Interact with board members, donors and the public on the phone, via email, at meetings, and in correspondence;
  •   Work with multiple calendars to schedule meetings and create donor kits as needed;
  • Work with the Senior Director of Development and Director of Major Gifts on annual Board giving statements and invoices;
  • Maintain moves management and donor touchpoint documentation for Senior Director of Development;
  • Input contact notes and donor interactions into Altru;
  • Develop and/or coordinate with appropriate PAMM staff to create and distribute reports, briefings, presentations, and responses on development issues as appropriate;
  • Support the Senior Director of Development and Executive Assistant in stewardship of the Board of Trustees;
  • Provide skilled support to the Senior Director of Development on implementation of special program initiatives;
  • Assist Senior Director of Development in preparing meeting materials, and producing meeting minutes as necessary;
  • Support the execution of all events led by the development department, including the annual Gala and other major fundraising events;
  • Serve as onsite registration personnel for donor and museum-wide events.
  • Any other duties as assigned.
