Position Overview The Development Assistant will work closely with all members of the Development Department to complete all administrative tasks associated with department activities. This includes processing of donations and event and membership payments; generation of invoices, acknowledgement letters and other correspondence; and assistance with execution of development and fundraising events.

  • Availability to work extended evening and weekend hours.

Preferred Qualifications:

  • Database management experience.
  • Knowledge of Altru database.
  • Bilingual in English and Spanish.

Physical Demands:

  • Walk, bend, lift (up to 25 pounds) including files, office supplies and electronic equipment.
  • Finger dexterity to pick up paper and use computer keyboard.
  • Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
  • Ability to hear in normal tones including telephone and face-to-face conversation.

Summary

Essential Functions include, but are not limited to:

  • Process all donations, event, and membership payments (all levels).
  • Prepare well written and thoughtful acknowledgement letters and other correspondence in a timely fashion.
  • Ensure compliance with established donor thanking process.
  • Create invoices for donations and sponsorships.
  • Provide administrative support for the membership renewal process (all levels).
  • Maintain digital donor files; create, update and correct records in database.
  • Answer and direct phone calls as appropriate among development team.
  • Monitor the development department email account, and direct incoming emails as appropriate among development team.
  • Work with multiple calendars to schedule meetings and create donor kits as needed.
  • Prepare materials for distribution (i.e., copying, filing, mailing, e-mailing, scanning)
  • Support the development team in fulfillment of benefits for major donors.
  • ·ssist Senior Director of Development, Director of Major Gifts and Director of Corporate Relations in preparing meeting materials and producing meeting minutes as necessary.
  • Coordinate weekly development department meetings, including collecting agenda items and producing meeting minutes.
  • Support the execution of all events led by the development department, including the annual Gala and other major fundraising events, including maintaining guest lists, preparing registration materials, and participating in guest check-in at events.
  • Any other duties as assigned.
