Position Overview:

The Manager of Development Operations is a key member of the Development team who instills best practices in the science of fundraising. They are involved in a wide range of tasks, from daily activities to special long- and short-term projects that advance the functioning of a strong, effective Development department. This position works closely with the Senior Director of Development to manage operational and administrative functions for all Development activities.

The Manager of Development Operations will liaise closely with the Finance and IT departments and monitor all systems to support Development's donor management, analytical, and financial tracking functions. This position builds and oversees fundraising processes and protocols, donor database management, reporting and analytics, gift processing, prospect and donor research, pipeline management, appeal mailings, special event support and donor stewardship efforts.

  • Availability to work extended evening and weekend hours.

Physical Demands

Summary

Essential Functions include, but are not limited to

  • Establish and maintain protocols to support the fundraising cycle from research, identification, and qualification, to cultivation, solicitation, and donor stewardship.
  • Oversee and create documentation and standard operating procedures for Development operations, such as gift entry, appeal tracking, donor pipeline and moves management, reporting, and data hygiene.
  • Supervise staff responsible for gift entry, donor acknowledgments and prospect and donor research, and oversee for accuracy and completeness. Ensure consistent and error-free database entry of donor information, including pledges, gifts, and installment payments.
  • Work with the Senior Director of Development and the General Counsel to ensure gift policies, processes, procedures, and administration comply with IRS regulations and standards and non-profit best practices.
  • Collaborate with the IT department to produce custom queries, lists, data sets, and reports as needed for museum leadership and frontline fundraisers, for use in mailings, campaigns, publications, fundraising collateral, and donor recognition in vehicles including the museum’s donor wall and website.
  • In partnership with the IT Department, develop and manage a variety of fundraising dashboards, reports, analysis, and forecasts including progress on strategic KPIs, annual goals and team-specific KPIs, and prepare summary statistics, materials, and presentations for frontline fundraisers, museum senior leadership, Board Advancement Committee, and Board of Trustees.
  • In partnership with frontline fundraising team, develop and maintain fundraising collateral including annual and special campaign decks and proposals.
  • Maintain exhibition and program credit lines, ensuring communication of current donor recognition and benefit fulfillment across all museum departments.
  • Monitor all department budgets, including revenue and expense budgets, liaise with the Finance department to ensure budget reconciliation, and work closely with the Senior Director of Development to regularly monitor income forecasts against goals.
  • Serve as primary Development team contact for Altru management, training, functionality, and usability. Work with the IT Department to ensure data accuracy, proper configuration, and completion of data health checks and data clean up projects.
  • Provide administrative support for Development events, to include guest list management, event check-in, face-sheets, guest invoicing and payment tracking, and event budgets.
  • Any other duties as assigned.
