Job Opening: Showroom Sample Coordinator

Location New York City Office Role Responsible for a variety of administrative and clerical tasks.

Job Responsibilities

Support the New York office by managing sample development timelines and maintaining organization throughout the process.
Track, receive, and ship samples accurately and efficiently to internal teams, vendors, and partners.
Collaborate with Technical Design, Product Development, and Production teams to ensure a smooth workflow and timely delivery.
Maintain and organize sample inventory, ensuring items are easily accessible for fittings, meetings, and presentations.
Assist in fittings/photoshoots by preparing samples and documenting necessary changes or notes.
Prepare and distribute samples for internal and external meetings, ensuring all materials are organized and presented professionally.
Communicate with vendors and cross-functional teams to track sample progress and resolve any issues.
Maintain and update a comprehensive sample log, including details such as sizes, ETA, discrepancies, and sample statuses.
Ensure all sample movement is accurately documented and communicated across teams.
Collaborate with the Product Development, Merchandising, and Marketing teams to coordinate sample requests, deliveries, and hand-offs, ensuring all departments receive the necessary samples on time.
Manage the timely ordering, receiving, and returning of samples from either the Distribution Center or Vancouver team, ensuring all sample returns are completed in accordance with company policies and guidelines.
Track budgets and expenses, and coordinate team events or meetings.
Assist in managing linesheets, monitoring product deliveries, and ensuring sample timelines align with production schedules.
Act as the main point of contact for all deliveries (FEDEX, UPS) and messenger services.
Greet guests, always maintaining a courteous, friendly, and helpful attitude.
Ensure that arriving guests are welcomed and attended to in a fashion that creates an extraordinary experience.
Respect the privacy of all guests and staff.
Answer phones and direct incoming calls with a high level of energy and professionalism.

Qualifications

Strong communication, organizational, and time-management skills.
Experience with Launchmetrics.
Detail-oriented with the ability to manage multiple priorities in a fast-paced environment.
Ability to work collaboratively across departments and adapt to evolving priorities.
Open to candidates of all experience levels; a passion for denim and product development is key.
Proficiency in Excel and Adobe Suite is a plus.

Benefits

Work schedule: Monday to Friday
Salary Range: $50,000 - $60,000 (Based on skills & experience)
