Job Overview We are seeking a highly organized and detail-oriented US Office Manager to support our teams in NY, LA, and Miami. This position reports directly to the Managing Director and assists in ensuring smooth administrative operations for our Beauty, Fashion + VIP, Events, and Lifestyle teams.
Key Responsibilities
General
- Directly support the US Managing Director to align efforts with business goals in NY, LA, and Miami.
- Assist in preparing reports, presentations, and materials for executive leadership.
- Implement and maintain operational processes and workflows.
- Oversee all front office staff and interns across US offices, assisting in onboarding and training.
- Maintain high standards in aesthetics, guest experience, personnel management, and logistics.
Financial
- Support planning and forecasting of the operating budget for all US offices annually.
- Manage and report personal business expenses weekly.
- Approve company invoices related to the operating budget weekly.
Facilities and General Operations
- Maintain vendor relationships and accounts (shipping, cleaning, office supplies, etc.).
- Purchase materials and equipment, plan inventory, and oversee operational efficiency.
- Manage company subscriptions and publication accounts.
- Order and distribute employee transit cards.
- Handle general calendar management, office management, and travel coordination.
Technology
- Manage budget, distribution, setup, and maintenance of employee computers.
- Liaise with tech teams for upgrades and general staff requests.
- Provide assistance for all platforms supporting business operations.
Support Agency Influencer & Media Platforms
- Serve as the support person for platform providers.
- Act as the primary point of contact for influencer and media platforms.
- Participate in product development meetings for user feedback.
- Stay updated on platform enhancements and relay information to relevant teams.
- Manage the agency’s global database for accuracy.
Special Projects
- Support actionable project plans, office renovations, and expansions.
- Manage the intern program in collaboration with the HR and People team.
- Assist with planning and coordination of special projects and events.
Community
- Execute internal events including PURPLE Summer and Holiday activations.
- Gather and manage content for the Together Group Newsletter.
- Lead internal communications with newsletters enhancing transparency and pride.
- Oversee company assets and organizational materials.
- Organize and facilitate key meetings as requested.
Skills, Knowledge, and Expertise
Qualifications
- Bachelor’s degree in Business Administration, Marketing, or related field preferred.
- 3+ years of experience in a similar role.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
- Familiarity with Mailchimp, Keynote, and InDesign is a plus.
- High attention to detail and ability to maintain confidentiality.
- Experience with influencer or media platforms and/or executive leadership is beneficial.
