Job Overview We are seeking a highly organized and detail-oriented US Office Manager to support our teams in NY, LA, and Miami. This position reports directly to the Managing Director and assists in ensuring the smooth operation of administrative functions for our Beauty, Fashion + VIP, Events, and Lifestyle teams.

Duties and Responsibilities

General

  • Support the US Managing Director in executing work aligned with business goals in the NY, LA, and Miami offices.
  • Assist in preparing reports, presentations, and materials for executive leadership.
  • Help implement and maintain clear operational processes and workflows.
  • Oversee front office staff and interns, leading onboarding and training.
  • Maintain high standards in aesthetics, guest experience, personnel management, and logistics.

Financial

  • Support planning and forecasting the operating budget for US offices annually.
  • Manage and report personal business expenses weekly.
  • Approve company invoices related to the operating budget weekly.

Facilities and General Operations

  • Maintain vendor relationships and accounts (shipping, cleaning, office supply, security, HVAC, etc.).
  • Purchase materials and equipment, plan inventory, and oversee operational efficiency.
  • Manage company subscriptions and publication accounts.
  • Order and distribute employee transit cards.
  • Provide calendar management, office management, and travel coordination. Cover front desk/reception duties when required.

Technology

  • Manage budget, distribution, setup, and maintenance of employee computers for all US employees.
  • Liaise with tech teams for necessary upgrades and manage staff requests.

Support Agency Influencer & Media Platforms

  • Serve as the support person for platform providers used to service clients. Attend training sessions to stay informed.
  • Act as the primary contact between influencer/media platforms and users, facilitating communication and resolving issues.
  • Participate in product development meetings to provide user feedback and enhance platform functionality.
  • Stay updated on platform enhancements and relay information to relevant teams.
  • Manage the agency's global database for ongoing accuracy.

Special Projects

  • Support actionable project plans (office renovations, expansions, or moves).
  • Manage the intern program in collaboration with the People team.
  • Assist in planning and coordinating special projects, initiatives, and events, including semi-annual Press Days.

Community

  • Execute internal events (PURPLE Summer and Holiday activations, team-building activities, etc.).
  • Manage content for the Together Group Newsletter.
  • Lead internal communications via the PURPLE Newsletter, ensuring global alignment.
  • Oversee company assets and organize key meetings as requested.

Qualifications

  • Bachelor's degree in Business Administration, Marketing, or a related field.
  • 4+ years of experience.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word); experience with Mailchimp, Keynote, and InDesign is a plus.
  • High attention to detail and ability to maintain confidentiality.
  • Experience with influencer/media platforms and executive leadership is a plus.
