Events Coordinator, Amanzoe

Role We are seeking an enthusiastic and detail-oriented Events Coordinator to join our team at Amanzoe. Reporting to the Director of Sales & Marketing, the Events Coordinator will play a key role in planning and executing events, ensuring seamless coordination between clients, suppliers, and internal departments. The successful candidate will be passionate about creating extraordinary experiences that reflect Aman’s philosophy of bespoke, intuitive service.
Responsibilities
- Coordinate and execute events, liaising with event partners and suppliers to ensure flawless delivery.
- Communicate effectively with operational teams to provide support and accurate event information, ensuring delivery of promised standards.
- Manage all client correspondence and ensure clear, timely communication regarding event details and updates.
- Prepare detailed group and event proposals tailored to client requirements.
- Follow up on confirmed group bookings for rooming lists, deposits, and customized F&B packages to drive incremental revenue.
- Oversee and manage all aspects of group reservations, ensuring accuracy and efficiency.
- Prepare and distribute relevant documentation such as Banquet Event Orders (BEO) to maintain alignment across departments.
- Ensure all accommodation and event requirements for group bookings are properly administered and executed.
- Attend departmental meetings, briefings, and internal or external training sessions as required.
- Organize and conduct site inspections of the resort and its facilities for new and existing clients.
- Identify and pursue upselling and cross-selling opportunities to maximize revenue.
- Work flexible shifts, including weekends and evenings, to support operational and client needs.
Requirements
- Degree in Hospitality Management, Business Administration, or a related field from a recognized university or hotel school.
- Minimum of 2 years’ experience in event coordination or group sales, ideally within a luxury hotel or resort environment.
- Proficiency in Opera PMS and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) at an advanced level.
- Fluency in English; additional language skills are an asset.
- Highly organized, detail-oriented, and self-motivated with strong energy and initiative.
- Excellent communication, coordination, and problem-solving abilities.
- Passion for delivering exceptional guest and client experiences.
- Strong teamwork skills with the ability to collaborate across departments.
