What You Will Do

  • Seller Onboarding & Support: Guide sellers through the onboarding process and act as the main point of contact for new seller account setup, seller agreement creation and execution, and gathering compliance documentation and payment instructions.
  • Sales Administration: Coordinate and track status of auction consignment paperwork and property. Act as the primary liaison between marketing, photography, operations, and the sales team.
  • Sales Prep & Compliance Oversight: Manage key auction deadlines and ensure all pre-sale deliverables are completed on schedule and in compliance with internal standards. Attend weekly pipeline meetings with the Auction team to provide updates on sale status.
  • Inventory & Operational Monitoring: Coordinate inbound shipping directly with clients and logistics, track receipt of property, and manage property movement during the sale and return of property post-sale.
  • Photography & Presentation Standards: Work with the Marketing team to uphold seller photography standards and support coordination of property photoshoots for auction.
  • Cataloging & Content Quality: Support Auction Specialists with catalog production, including contributing to the physical cataloging process and lot note writing. Assist with reviewing all cataloging to ensure accuracy, quality, and consistency.
  • Buyer Engagement & Assistance: Respond to buyer inquiries and provide additional information (e.g., additional photos, condition reports).
  • Expense Tracking: Manage sales budget, tracking all client contract terms, client charges, and overall sale charges during sale preparation. Review all charges with Finance and Accounting teams post-sale.
  • Post-Sale Coordination: Partner with Finance and Accounting teams and liaise directly with clients to manage seller settlements, return or re-offer unsold property, and ensure smooth transactional follow-through.
  • Administrative Support: Provide administrative assistance and cross-functional support to the Auction sales team as needed.

What You Bring

  • Strong project management and organizational skills, with the ability to multitask effectively.
  • A calm, resourceful, and solutions-oriented mindset under pressure.
  • Ability to work efficiently and collaboratively across internal teams.
  • Enthusiasm for cultural commerce, luxury resale, fine art, and client service excellence.
  • Strong knowledge of Excel, PowerPoint, and Outlook.
  • Experience in fine art, auction, and/or fashion industries.
