Senior Manager, Collections Information

The Senior Manager, Collections Information has overall responsibility for collections documentation delivered by the Museum’s collections management system (TMS). The role manages, enhances and expands all aspects of TMS, for efficient workflows and best possible access by staff and the public to M+ Collections information. The Senior Manager reports to the Head, Collection, Archives and Library, oversees the work of the Collections Information Team, and works closely with Collections Management, Curatorial, Conservation, and Innovation and Technology teams.
You will be responsible for
- Overseeing the customisation and management of the TMS suite of applications (TMS Collections, Conservation Studio, Media Studio, and e-Museum) and developing effective, user-friendly database tools and workflows for accessing and developing collection information for multiple museum activities.
- Leading the efforts for collection information projects, especially the delivery of Collections data to the web, working collaboratively with the Digital team to identify and implement workflows.
- Designing reports for statistics on collections information, collections activities, data integrity and location tracking of the Collections.
- Overseeing the development and constant review of the TMS training program for museum staff, continually evaluating its effectiveness and developing new training courses as needed.
- Leading the creation and enhancement of an internal website that provides staff with instruction and documentation to support TMS use including the development of data entry guides, cataloguing rules, etc.
- Working closely with the Collection Curators, Registrars, Conservation and Archives & Library teams, and in consultation with authoritative documentation sources, to agree, implement and maintain collection cataloguing standards.
- Proposing and developing collections and information management projects, such exhibition label development, light dose data, subject tagging.
- Developing additional tools to enhance user interactions with TMS, such as List View Explorer, data look-up lists, and auto-translators.
- Managing the TMS vendor relationship, prioritizing and communicating issues/needs for future development and regular updates of the system.
- Overseeing the health and security of the collections database. Working with the Manager of Collections Database Development and IT to ensure upgrades, patches, backups, etc. are managed in a timely manner. Ensuring data security through the creation and management of Security Groups. Working with IT to ensure database infrastructure is ever-greening to ensure continuity of service.
- Recruiting, training, supervising and establishing priorities for the Collection Information Team. Currently, the team comprises of three members.
You should have
- At least 10 years of experience working in an information management role within a museum, gallery, archive environment of which at least 2-3 years in a managerial capacity;
- Extensive experience on processes and procedures involved in a range of collections management activities (cataloguing, location recording, acquisitions, loans in and out, managing exhibitions and displays, etc.)
- Extensive knowledge of museum cataloguing data standards and experience with user support, training and documentation is an essential requirement
- Experience of collections documentation and digitisation projects in a museum, art gallery or similar organisation; Experience with TMS is strongly preferred
- Relevant experience of analysing users’ requirements and creating purpose made reports for data management and workflows implementation to support daily museum operations and accountability for the collections
- Experience on integration of collection database information with external systems such as application programme interfaces (API) and web projects is desirable.
- An excellent understanding and appreciation of structured/systematic approaches to managing information
- Strong organizational skills, with the ability to prioritise own workload and meet deadlines;
- Proven experience with project management and staff supervision is required
- Demonstrably excellent attention to detail and a flexible approach to work
- Excellent verbal and written communication skills in English, and preferably in Chinese, with the ability to liaise effectively with both internal and external parties
- Advanced computer skills esp. in the use of collections management databases, digital asset management systems and/or other IT interface systems
