Position Overview Reporting to the Sr. Director of Curatorial Affairs, and in partnership with the Registration, Preparation and Curatorial teams most directly, as well as all other museum departments, the Exhibitions Manager oversees the planning and implementation of PAMM’s exhibition program schedule from concept to creation.

Qualifications

  • Bachelor’s degree in art history, Studio Art, Museum Studies, Arts Administration, or a closely related specialty.
  • At least five to seven years of administrative and project management experience, preferably in a museum environment.
  • Demonstrated experience managing and maintaining departmental and/or project budgets.
  • Proven ability to work collaboratively or independently under pressure while prioritizing multiple projects with competing deadlines, sustaining a high level of attention to detail.
  • Excellent organizational, project management, research, writing, and editing skills.
  • Ability to facilitate cross-departmental teams while maintaining organization and advance planning.
  • Strong ability to prepare and meet timelines and budgets.
  • Exceptional communication and interpersonal skills.
  • Capacity to collaborate with internal colleagues and external partners, demonstrating flexibility and finding ways to meet mutual goals.
  • Ability to manage sensitive information confidentially.
  • Proficiency in Microsoft Office software, particularly Word, Outlook, PowerPoint, Excel, and collection management systems.

Preferred Qualifications

  • Master’s Degree preferred.
  • Advanced computer skills in Microsoft Office (Word, Excel) and museum collection databases (The Museum System Collections - TMSC).
  • Demonstrated success in planning and executing exhibitions with challenging logistics.
  • Spanish language proficiency is helpful.

Physical Demands

  • Walk, bend, and lift files, office supplies, and electronic equipment (up to 15 pounds).
  • Use finger dexterity to pick up paper and operate a computer keyboard.
  • Close visual acuity to prepare and analyze data, transcribe, view a computer terminal, and engage in extensive reading.
  • Ability to hear normal tones, including telephone and face-to-face conversations.

Work Schedule A flexible work schedule or additional hours may be necessary to meet the requirements of this position, which could include evening hours and weekend work. The responsibilities and required interactions of this position support a hybrid work schedule, based on departmental needs and pre-approved by the Director.

Essential Functions

  • Create and maintain a comprehensive, strategic, long-term Exhibitions Calendar in coordination with the Director and Chief Curator, aligning with mission and institutional goals.
  • Coordinate all in-house exhibitions and permanent collection gallery changes, anticipating issues and solving problems as they arise.
  • Develop implementation schedules for all exhibitions, establishing milestones for timely completion, and regularly check adherence to deadlines.
  • Lead the development of exhibition budgets, ensuring projects stay on schedule and within budget, and flag overages promptly.
  • Liaise daily with the Sr. Registrar and Chief Preparator/Exhibition Designer during budget preparation.
  • Draft agreements for artists, guest curators, and other necessary professional services, including MOUs and contracts.
  • Coordinate production of loan letters for all loan exhibitions with the Registration and Curatorial teams.
  • Process exhibition contract-related payments and invoices.
  • Schedule museum-wide Exhibition meetings and regular project check-ins, updating the Museum calendar accordingly.
  • Utilize project management best practices, ensuring compliance with contractual obligations and leading the development of departmental processes.
  • Perform other duties as needed in coordination with colleagues.

Supervisory Responsibilities While this position collaborates with every department to manage a successful program, there are no direct reports.
